I used to love making to-do lists.
The bullet points. The highlighters. The checkboxes.
But over time, I noticed something strange: the more I added to my list, the less I seemed to get done. My list became this never-ending guilt machine, a scroll of “shoulds” that rolled over from day to day. No matter how productive I was, I always felt behind.
So I ditched the traditional to-do list. And in its place, I started using a simple, flexible system that finally worked.
It changed how I work, how I plan my days, and most importantly, how I feel at the end of them.
Here’s what I replaced my to-do list with—and how it might just change everything for you, too.
😩 The Problem with Traditional To-Do Lists
Before I switched, my to-do list looked impressive. It had tasks from every area of my life: work, parenting, errands, self-care, groceries, birthdays, and bills.
But it didn’t work. Here’s why:
No prioritization — Everything felt equally urgent
No time context — Tasks took longer than I expected
No buffer — Life (especially with kids) doesn’t follow a list
No mental closure — Even after working all day, half the list remained
The worst part? I always felt like I wasn’t doing enough—even when I was doing way too much.
That’s when I realised: my list wasn’t broken—my system was.
✅ The System I Use Now: The 3-Part Focus Method
Instead of a long, overwhelming list, I now use a simple 3-part method that helps me stay focused and sane:
Top 3 Priorities (The Must-Do’s)
Time Blocks (When It Gets Done)
Overflow Parking Lot (Optional, not urgent)
Let me break it down.
1. 🎯 Top 3 Priorities
Each day, I write down just three tasks that must get done. That’s it. Not ten. Not even five.
These are:
High-impact
Realistic
Aligned with my bigger goals
They might include:
“Submit client proposal by noon”
“Call paediatrician about appointment”
“Film and upload 1 video for IG”
That small number forces me to focus on what truly matters—and actually finish things.
🧠 Why it works: You gain momentum, reduce stress, and end the day feeling accomplished, not defeated.
2. ⏰ Time Blocking
Once I know my top 3, I assign them to time blocks in my calendar.
It might look like:
9:00–10:00 AM: Proposal writing
2:00–2:30 PM: Doctor call + admin tasks
4:00–5:00 PM: Filming video
This gives tasks a real place in time, not just space on a list.
Time blocking helps me:
Plan around my energy levels
Build in breaks and buffer zones
Respect my personal and family time
🌟 Bonus: It keeps me off autopilot. I know exactly what I should be doing and when.
3. 🗂️ The Overflow Parking Lot
This is my favourite part—and the one most people skip.
The Overflow Parking Lot is where I write down all the little things I could do... but don’t need to do today.
Think:
“Organise photos”
“Research camping gear”
“Respond to that message from 3 days ago”
“Refill the printer paper”
This list lives in my planner or notes app, and I pull from it only if I have extra time or brainpower.
📌 Why it works: You don’t forget things, but you’re not drowning in them either.
🧘♀️ The Results: Less Overwhelm, More Focus
Since ditching my massive to-do list and switching to this system, here’s what changed:
✅ I finish my days with clarity
✅ I stop working when I’m done, not just when I’m exhausted
✅ I don’t feel guilty for what I didn’t do
✅ I’m more present with my family
It’s not that I magically get more done. I just get the right things done—and that’s what real productivity is all about.
🔁 But What About Emergencies or Surprises?
Life happens. Especially with kids, clients, and curveballs.
That’s where this system shines. It's flexible.
If something comes up:
I move time blocks around
I swap out one priority
I push a task to tomorrow without guilt
Because I’m only focused on three key things, I don’t feel like the whole day has gone off the rails when something shifts.
🧩 How You Can Try This Starting Tomorrow
Want to try this system without changing your whole life? Start simple:
Tonight or first thing tomorrow morning, write down:
✅ 3 top priorities
🕒 Estimated time blocks
🗂️ Overflow parking lot items
Plug time blocks into your calendar or a notepad
Give yourself grace when things shift
Celebrate finishing the top 3—that’s the real win
☕ Final Thoughts: A Calm Mind Is the Real Productivity Hack
We’ve been taught that hustle means long lists and constant action. But true productivity isn’t about doing more—it’s about doing what matters with presence and peace.
So if your to-do list makes you anxious, overwhelmed, or numb...
Consider this your permission to let it go.
Choose clarity. Choose a focus. Choose a system that supports your real life, not just your task list.
Because crossing off 12 things might look impressive,
But finishing 3 things that truly move the needle?
That feels powerful.
